Dubsado Forms 101 for Family Photographers

*Disclaimer: This blog post was originally published in 2022 and has been updated for accuracy and relevance. Some features or details within Dubsado may have changed since this update. Always check Dubsado’s help center for the most current information.

If you have ever had a client ghost you before a session, show up completely unprepared, or send you a long chain of text messages asking questions you already answered in an email they never read, you are not alone. And you are not bad at running a business. You just might be missing a few forms.

When I started dipping my feet into photography back in 2007/2008, I treated it more like a hobby than a real business. I had no contracts, no intake questionnaires, and no system to collect payments or communicate session details. Every new inquiry felt like I was starting from scratch. I spent way too much time chasing down information, and I cringe thinking about how scattered the experience must have felt for my clients.

That changed when I was introduced to Dubsado in 2018 (when I went full-time in my photography business). But here is the honest truth: Dubsado did not fix my business overnight. I made the mistake of assuming it would be a magic fix. I jumped in without really learning the tool, and I spent a lot of time frustrated and confused before things started clicking. Dubsado is a powerful CRM (Client Relationship Management) tool, but it only performs as well as the systems you build within it. Once I understood that, everything shifted. This post walks you through the five types of forms in Dubsado to help you create a professional, consistent client experience for your family photography business. If you are brand new to workflows and are wondering what that even means, I have a resource for you: grab my Family Photographer’s Workflow Blueprint to map out your client journey before you start building anything inside your CRM. a family photographer is walking up the stairs for their branding photos

What Is a Contract in Dubsado, and Why Does Every Family Photographer Need One?

A Dubsado contract is a legally binding form that your client signs electronically before your session begins. It outlines the terms, conditions, and expectations for your work together. If you are running a family photography business without a contract, you are leaving yourself wide open to misunderstandings, cancellations, and awkward money conversations with zero protection.

I know contracts can feel stuffy or overly formal, especially if you are the kind of photographer who wants to keep things warm and personal. But having a contract does not make you cold. It makes you professional. It tells your clients that you take your work seriously and have clear boundaries on how your business operates.

One important detail about Dubsado: only one contract can be added per project. So your contract should cover the main terms of your session or package. If you are not sure what to include in your contract, you do not need to write one from scratch. I recommend purchasing a photography-specific contract template from The Legal Paige. You can use my code DOLLY10 at checkout for 10% off.

Once you have a template, it takes about 30 minutes to personalize it with your business details, and then you can reuse it for every client project in Dubsado. a blog banner that is advertising the legal paige which is a contract shop for creative minded business owners

What Are Sub-Agreements in Dubsado, and When Should You Use Them?

Sub-agreements are additional legally binding forms that can be attached to a project alongside your main contract. Unlike contracts, you can add more than one sub-agreement to a single project.

Think of it this way: your contract covers the primary terms of the session. But what happens when a client wants to add something on, like an album order or a print release? That is where sub-agreements come in. They handle the “extras” that pop up within a project without requiring you to rewrite your entire contract.

Common ways family photographers use sub-agreements include model releases, print release waivers, album order agreements, and contract addendums if session details change after booking.

I personally use a sub-agreement any time a client wants to order an album from their family session. I purchased an album agreement template from The Legal Paige (use code DOLLY10 for 10% off), and I reuse that same template every time.

The key takeaway here is that you should always start with a contract for every project, then layer in sub-agreements as needed for any additional services or agreements.

How Do Questionnaires Work in Dubsado for Family Sessions?

Questionnaires are the most flexible form type in Dubsado. They allow you to collect information from your clients using short answers, free responses, checkboxes, dropdowns, date selectors, and even file uploads.

This is where you get to really personalize your client experience. A well-designed questionnaire does more than collect data. It prepares your client for their session, sets expectations, and saves you from playing email tag for a week trying to gather details you should have collected upfront.

Here are a few ways I use questionnaires in my family photography business.

First, I send an intake questionnaire after booking to learn more about the family, their session goals, what they are hoping to capture, and any special circumstances I should know about.

Second, I use a style guide questionnaire closer to the session date so families can share their wardrobe plans and I can offer feedback before they show up in clashing patterns.

Third, after the gallery is delivered, I send a testimonial request questionnaire to collect reviews while the experience is still fresh.

The reason questionnaires are considered the most versatile form in Dubsado is that you can build them with so many different question types. You can even upload your own branded PDFs to the questionnaire form, adding a personal touch that makes your business feel polished and cohesive.

If you are just getting started, think about your client’s journey from the moment they inquire to the moment they receive their gallery. Where are the gaps where you are chasing down information? That is exactly where a questionnaire belongs.

What Is a Dubsado Proposal, and How Can It Speed Up Your Booking Process?

A Dubsado proposal is a form that lets your client view your packages, select one, sign your contract, and pay their invoice all in one place.

I will be honest with you: the proposal form is both the most impressive and the most intimidating form inside Dubsado. There are a lot of moving pieces, and it can feel like a big project to set up. But once it is built, a proposal can take a potential client from inquiry to fully booked in one single step without you having to go back and forth over email for days.

Here is how it works in my business. When a potential family photography client reaches out, I send them a branded proposal that reflects all of my session packages. They browse the options, pick the package that fits their family, sign the contract, and pay their deposit. All without a single extra email from me.

That is the part of Dubsado that people are usually referring to when they talk about “automating” your booking process.

But here is the part most people skip: you need to know your client workflow before you build a proposal. If you have not mapped out your packages, your pricing, your contract terms, and your canned emails, creating a proposal will feel chaotic rather than productive.

Take the time to get clear on those foundation pieces first. If you need help mapping out your entire backend, my Backend Organization System for Family Photographers is designed to help you organize everything in one Trello board so nothing falls through the cracks.

There are also pre-built proposal templates inside Dubsado that give you a solid starting point, so you do not have to design the whole thing from a blank canvas. The Master Business Trello Operations Board by Dolly DeLong Education WordPress Banner Advertisement

Why Is the Lead Capture Form the Most Important Dubsado Form for Marketing?

The lead capture form is a customizable contact form that brings new clients directly into your Dubsado account and automatically generates a project for each inquiry. This form is probably my favorite of the five, and here is why: it turns your website’s contact page into a working part of your marketing system.

Instead of fielding inquiries via text messages, Instagram DMs, or scattered emails, every new inquiry goes through a single centralized form that collects exactly the information you need and automatically kicks off your workflow. You can customize the lead capture form to match your brand, add dropdown menus for the types of sessions you offer, and attach it to specific workflows so the right sequence of emails, contracts, and questionnaires fires off depending on what the client selects.

You can embed it directly on your website, or you can generate a standalone link to share on social media if you do not have a website yet.

One of my favorite features is the ability to attach a custom thank-you page to your lead capture form. When a potential client hits “submit,” they get redirected to a page where they can learn more about you, your process, or what to expect next. That is free marketing real estate that most photographers are not using.

How Do These 5 Dubsado Forms Work Together in a Client Workflow?

When used together, contracts, sub-agreements, questionnaires, proposals, and lead capture forms create a complete client experience that runs with minimal manual effort. Here is the big picture.

Your lead capture form brings in the inquiry.

Your proposal presents your packages, collects payment, and gets the contract signed.

Your questionnaires gather session details and prep the client.

And your sub-agreements handle any add-ons that come up along the way.

Each form plays a specific role, and when they are connected inside a Dubsado workflow, they fire off in the right order at the right time without you having to remember every step. This is why I talk about systems and workflows so much.

The forms themselves are useful on their own, but the real power comes from connecting them into a repeatable process that works for every single client. You set it up once, refine it over time, and then it runs in the background while you focus on what you actually love doing: photographing families.

How long does it take to set up Dubsado forms? Meet Your Favorite Marketing Strategist and Business Coach for Family Photographers (Dolly DeLong Education)

Headshot-of-Nashville-Newborn-Photographer-Dolly-DeLong-Photography-who-is-also-a-marketing-educator-for-family-photographers

Hi, I’m Dolly DeLong, a Nashville-based family photographer, marketing strategist, and systems educator for family photographers who want structure, clarity, and consistency in their marketing.

My photography journey began in 2006, and over the years, I built a sustainable family photography business while navigating motherhood, client work, and the realities of running a solo creative business. Along the way, I discovered something unexpected: I loved the backend just as much as the creative side.

What started as organizing my own workflows turned into helping other family photographers simplify their marketing, build repeatable systems, and stop relying on last-minute posting or panic marketing.

Today, I focus exclusively on helping family photographers intentionally market their businesses (not with trends but with consistently showing up).

I offer two ways to work with me:

Through my blog, podcast, and YouTube channel, I teach family photographers how to think like marketers, plan ahead, and create marketing rhythms that support both their business and their family life.

I still photograph families around Nashville because it’s one of my greatest joys. But helping family photographers build calm, consistent marketing systems that actually fit real life is a close second.

I’m so glad you are here, reading this blog, listening to the podcast, or watching the embedded YouTube video. I hope this educational content was helpful. Please let me know what future systems content you would like me to create!
